HiredAi User Guide

Set up your recruiter account and prepare to post jobs on HiredAi in just a few minutes.

1. Account Creation
   • Navigate to the HiredAi homepage and click "Login", then "Register Now."
   • Use your corporate email address (e.g., name@company.com) to register. This is required to verify your affiliation and protect job seekers from fraudulent listings.
   • Create a secure password and complete the registration form with your details.
2. Email Verification
   • Check your corporate email inbox for a verification email from HiredAi.
   • Click the verification link to activate your account.
   • If you don't see the email, check your spam/junk folder or request a new verification link from the login page.
3. Create a Company Affiliation
   • Log in and go to the Company section from your dashboard.
   • Enter your company details: company name, logo, website URL, and your role within the organization.
   • Submit the affiliation. Once complete, you're ready to start posting jobs and attracting candidates.

1. Navigate to the Post Job page from your dashboard.
2. Fill in the job details:
   • Job Title — Be specific and descriptive (e.g., "Senior React Developer" rather than just "Developer").
   • Location — Select remote, hybrid, or on-site. For on-site roles, specify the city and state.
   • Salary Range (optional but recommended) — Listings with salary ranges receive significantly more qualified applications.
   • Job Type — Full-time, part-time, contract, or internship.
   • Seniority Level — Entry, mid-level, senior, or executive.
   • Job Description & Requirements — Use the rich text editor to create a detailed, well-formatted listing. Include responsibilities, qualifications, benefits, and company culture information.
3. Preview your listing to ensure everything looks perfect.
4. Click "Deploy Job Posting" to make the job live.

Monitor, review, and interact with applicants efficiently using HiredAi's powerful applicant management tools.

1. Receiving Applicant Notifications
   • When a candidate applies to your job, you'll receive an email and/or push notification instantly.
   • After the first applicant, notifications are batched periodically to keep your inbox manageable.
   • View all applicants in the Applicants tab of your dashboard.
2. Reviewing Applicant Profiles
   • Click any applicant's name to view their full profile, including work history, education, skills, and contact information.
   • Each applicant includes a HiredAi Match Score — a percentage showing how well their qualifications align with your job requirements.
   • Use filters to sort applicants by Match Score, application date, or status (new, reviewed, shortlisted, rejected).
3. Taking Action on Applicants
   • Shortlist promising candidates to review later.
   • Schedule an Interview directly from their profile.
   • Download their profile as a PDF to share with your hiring team.
   • Contact them directly using the contact information on their profile.

1. Initiating an Interview
   • From any applicant's profile, click "Schedule Interview."
   • Select one or multiple available timeslots from the calendar to give the candidate options.
   • Confirm the interview request. The applicant will receive an instant notification via email and the HiredAi app prompting them to choose a timeslot.
2. Interview Confirmation
   • Once the applicant accepts a timeslot, both parties receive a confirmation with full meeting details.
   • The confirmation includes the date, time, and a virtual meeting link for video interviews.
3. Managing Your Interview Calendar
   • Go to the Interviews tab to view all scheduled interviews.
   • Toggle between List View (chronological) and Calendar View (visual schedule) to manage your time.
   • Click any interview to Join the Meeting when it's time, or navigate to the applicant's profile to Reschedule if needed.

1. Selecting a Candidate
   • From the interview page, click "Mark as Hired" to select a candidate for the position.
   • Both you and the applicant receive a congratulations notification confirming the selection.
   • The notification includes a message that HR will follow up with next steps such as the offer letter and onboarding details.
2. Archiving a Filled Job
   • Go to Manage → My Jobs and select the filled position.
   • Click "Edit" to open the job details.
   • Scroll to the bottom and click "Mark Filled" to move it to archives.
   • The job will appear in your Archives tab under Manage → Archives.
3. Accessing Historical Data
   • In the Archives tab, view all past jobs, their applicants, interview history, and hiring outcomes.
   • Use this section for reference, compliance, or to reactivate a job if you need to fill a similar role again.

   • Access your Analytics Dashboard to see a bird's-eye view of your hiring activity.
   • View key metrics including: total active jobs, total applicants, interviews scheduled, and candidates hired.

   • Identify which jobs are performing well and which may need updated descriptions or salary information.
3. Company Job Board
   • Every company on HiredAi gets a dedicated, branded job board page that showcases all of your active listings.
   • Share your company job board link directly with candidates or on social media to drive traffic.

   • Log in to HiredAi and click Profile in the navigation menu.
   • Click "Edit Profile" to begin building your professional profile.
2. Populating Your Profile
   • Option 1: Upload a PDF Resume (Recommended)
     • Click "Upload Resume" and select a PDF file from your device.
     • HiredAi's AI will automatically extract your work history, education, skills, certifications, and contact information.
     • Review the extracted information for accuracy and make any necessary edits.
     • This is the fastest way to create a comprehensive profile — most users are done in under 2 minutes.
   • Option 2: Manual Entry
     • Manually enter your details section by section:
       • Contact Information — Full name, email, phone number, location
       • Work Experience — Job titles, companies, dates, key responsibilities and achievements
       • Education — Degrees, institutions, graduation dates, relevant coursework
       • Skills — Technical skills, certifications, languages, tools you're proficient in
3. Saving & Deploying Your Profile
   • Once your profile is complete, click "Deploy Profile" to make it active and visible to the matching engine.
   • You can return to "Edit Profile" anytime to update your information as your experience grows.

1. Browsing the Job Board
   • Navigate to the Jobs page to browse all available positions.
   • Use powerful filters to narrow your search: location, industry, job type, salary range, seniority level, remote/hybrid/on-site, and more.
   • Each listing shows a HiredAi Match Score — a percentage that indicates how well your qualifications align with the job requirements. Higher scores mean a stronger fit.
   • Jobs are sorted to show you the most relevant positions first based on your profile and preferences.
2. Applying Manually (One-Click Apply)
   • Click on any job listing to view its full details, including responsibilities, requirements, salary, and company information.
   • Click the "Apply Now" button once to submit your application instantly.
   • Your profile information is automatically sent to the recruiter — no forms to fill out, no cover letters to write.
   • The recruiter receives an immediate notification of your application.
3. Using Auto-Apply (Game-Changer)
   • Go to your Profile and locate the "Auto-Apply" feature.
   • Activate Auto-Apply by selecting one of three intelligent matching modes:
     • 🟢 Any Good Match — Applies to jobs where your skills and experience closely align. Casts the widest net for maximum opportunities.
     • 🔵 Any Equal Match — Applies to jobs that match your current role level and expertise. Targets positions similar to what you're doing now.
     • 🟡 Growth Match — Applies to jobs that represent career advancement and stretch opportunities. Ideal when you're ready for the next step.
   • Click "Save" to enable. HiredAi will automatically scan new jobs and apply on your behalf based on your selected criteria — 24 hours a day, 7 days a week.
   • You'll receive notifications when Auto-Apply submits applications, so you always know what's happening.

When a recruiter is interested, everything happens seamlessly within HiredAi — from scheduling to the actual video interview.

1. Receiving an Interview Request
   • When a recruiter wants to interview you, you'll receive an instant notification via email and the HiredAi app.
   • The notification includes multiple timeslots proposed by the recruiter, giving you flexibility to choose what works best.
2. Confirming Your Interview
   • Go to your Interviews tab or click the link in the notification.
   • Select the most convenient timeslot from the options provided.
   • Click "Confirm" to lock in the interview.
   • Both you and the recruiter will receive an automated confirmation email with meeting details including the date, time, and video meeting link.
3. Attending Your Interview
   • Join the meeting no earlier than 15 minutes before and no later than 5 minutes after the scheduled start time.
   • Click the meeting link provided in your confirmation. Test your audio and video in advance.
   • Be prepared, be professional, and be yourself. The recruiter has already seen your qualifications — the interview is about fit and conversation.

Here's what happens after your interview and how to wrap up your job search once you've landed a position.

1. Following Recruiter Instructions
   • After the interview, follow any next steps the recruiter provides (e.g., submitting additional documents, completing assessments, or attending follow-up interviews).
2. Receiving a Job Offer
   • If you're selected, the recruiter will mark you as "Hired" in HiredAi.
   • You'll receive an automated congratulations email notifying you that you've been selected for the position.
   • The email includes guidance that HR will follow up with the official offer letter, onboarding details, and next steps.
3. Disabling Auto-Apply After Being Hired
   • Once you've accepted a position and are no longer seeking a job, go to your Profile.
   • Locate the "Auto-Apply" feature, toggle it off, and click "Save" to stop automatic applications.
   • You can always re-enable it in the future if you begin a new job search.

   • Visit your Application Stats page to see a comprehensive overview of your job search activity.
   • Track how many jobs you've applied to, how many are under review, and how many have resulted in interviews.

   • Your Interviews tab shows all upcoming, pending, and completed interviews in one place.
