Key Responsibilities:

  1. Provide direct administrative support to executives, including calendar management, meeting coordination, and travel arrangements.
  2. Assist with daily operational and procurement-related activities, including preparing purchase orders and tracking order status.
  3. Communicate with vendors and external partners to confirm pricing, availability, and delivery timelines.
  4. Monitor incoming shipments, verify order accuracy, and assist in resolving discrepancies.
  5. Maintain organized and confidential records, including contracts, invoices, reports, and executive correspondence.
  6. Support internal teams with material requests and ensure timely fulfillment of business needs.
  7. Prepare reports, presentations, and documentation for executive meetings and strategic initiatives.
  8. Serve as a professional point of contact for visitors, providing a welcoming and efficient front-office presence when needed.
  9. Coordinate cross-departmental communication to ensure alignment on priorities and deadlines.


Requirements:

Qualifications:

  1. Strong organizational skills with a high level of attention to detail and accuracy.
  2. Excellent written and verbal communication skills, with the ability to interact professionally across all levels of the organization.
  3. Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
  4. High level of discretion and ability to handle sensitive and confidential information.
  5. Familiarity with finance and leasing products, policies, and procedures is a plus.
  6. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and database systems.
