Job Summary:

ASOF is seeking a detail-oriented and organized Entry-Level Administrative Assistant to support our science research team. This role is ideal for someone beginning their administrative career who is interested in working in a research environment. The successful candidate will provide administrative support, coordinate schedules, maintain records, and assist with day-to-day office operations.


Key Responsibilities:

Provide general administrative support to research staff and management.

Answer phone calls, emails, and respond to routine inquiries.

Schedule meetings, appointments, and coordinate calendars.

Prepare, organize, and maintain research documents and office files.

Enter and update data accurately in spreadsheets and databases.

Assist with preparing reports, presentations, and correspondence.

Coordinate travel arrangements and meeting logistics when needed.

Order and maintain office supplies and equipment.

Support document management while maintaining confidentiality.

Perform other administrative duties as assigned.


Qualifications:

High school diploma or equivalent required; an associate's or bachelor's degree is a plus.

Previous office or customer service experience is helpful but not required.

Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint).

Strong organizational and time management skills.

Excellent written and verbal communication skills.

High attention to detail and accuracy.

Ability to work independently and as part of a team.

Willingness to learn about scientific research operations.


Preferred Skills:

Basic knowledge of office administration.

Experience with data entry or electronic filing systems.

Familiarity with Google Workspace is an advantage.
